Our client is a reputable 3rd-party Commercial Property Management company located in Calgary, Alberta.

Your new role

The Property Administrator is responsible for working closely with the Senior Property Manager to ensure all the Property Management and Operation Team’s duties, obligations and deadlines are met as efficiently, effectively and accurately as possible. Additional support is to be provided to the Leasing Team on an as-needed basis.

▪ Liase and maintain strong Tenant relationships through excellent customer service
▪ Provide support for day-to-day activities for buildings in our portfolio
▪ Maintain and monitor service requests through MRI Angus
▪ Assist Operations with the set-up and overseeing of the building systems within MRI Angus.
▪ Prepare letters, mail merges, memorandums and general correspondence
▪ Maintain all Tenant and Contractor contact information including emergency information
▪ Administer both Tenant and Contractor COI, WCB and ensure all documents are current
▪ Assist with preparation of monthly Property Management reports, rent rolls and client reports
▪ Assist with annual budget process
▪ Set up tenant, building and construction files
▪ Maintain filing and filing system
▪ Accounts receivable reporting and follow up with tenants on rental arrears
▪ Track and approve all tenant monthly rental billings/EFT or PAD payments
▪ Managing and preparation of PO’s, accounts payable coding and monthly accruals
▪ Assist and support Operations Supervisor as needed to administer operational responsibilities
▪ Track and maintain all service contracts, including but not limited to landscaping, snow removal, security, HVAC and all other service contracts
▪ Lease administration as needed including preparation of Proposals, Offer to Lease, Lease documentation and Leasing Reports
▪ Responsible for Lease Summaries and distribution to the applicable departments
▪ Perform other related duties and special projects as assigned

What you'll need to succeed

▪ Five (5) years of commercial property management and/or real estate experience
▪ Post-secondary education and an accredited institution (diploma/certificate) (preferred)
▪ Proficiency in accounting and financial management (A/P & A/R)
▪ Experience with property management accounting systems considered an asset (Spectra experience specifically)
▪ Real estate license in property management or willingness to obtain a license
▪ Excellent planning and prioritizing, organizational and multitasking skills in a fast-paced environment
▪ Strong written, verbal communication, attention to detail and strong proofreading skills
▪ Knowledge of commercial leases and conveyancing
▪ Ability to work independently as well as a part of a team and have excellent time management skills
▪ Proficient in use of Microsoft Office (strong in Excel and Word
