My client is a highly regarded boutique law firm specializing in commercial real estate, litigation, condominium law, and corporate and commercial law.
Your new role
As an Accounting Clerk, you will play a crucial role in managing our financial operations. Your responsibilities will include processing clients’ accounts, reviewing invoices for errors, discrepancies, and inconsistencies before submission to clients, and posting disbursements in Soluno. You will assist with billing preparations, including the posting, transfer, and documentation of recoverable disbursements, and resolve billing inquiries and disputes. Maintaining client files in Soluno, reviewing internal accounts, and keeping the client code listing and accounts directory up to date will also be part of your duties.
In addition, you will handle deposits by examining, confirming, and posting cheque and electronic payments to various bank accounts and client files, and communicate holds to legal secretaries and lawyers. You will prepare bank deposits and communicate with the bank to resolve holds. For payments, you will process purchase requisitions, manage access to and reconciliation of the firm’s petty cash, and facilitate access to the firm credit card, adhering to the firm’s access and usage policy.
Your administrative tasks will include monitoring and responding to incoming emails in a timely fashion, preparing payment and deposit packages for Trust and Operating Journals, and scanning and filing accounting documents electronically. You will also open and close bank accounts, post interest and service charges to active bank accounts, resolve dormant accounts, and discrepancies posted to bank accounts, and comply with Law Society of Ontario requirements. Documenting and updating procedures and performing other tasks as assigned will also be part of your role.
As a back-up, you will process and post clients’ payments of the firm’s accounts in Soluno accounting software, including cheques, credit cards, and electronic fund transfers. You will prepare batch deposits for various trust accounts maintained for different condominium projects, send Form 4 Certificates, and monitor post-dated cheques. For payables and expenses, you will receive, review, and verify purchase invoices for accuracy, completeness, and adherence to the firm’s policies and procedures, and post purchase invoices into accounting software.
Qualifications
The ideal candidate will have a college diploma or equivalent with an accounting or finance concentration (or a related field). A degree in accounting or finance (or a related field) is a plus. You should have prior experience with accounts receivable and payable, bookkeeping, or a similar role (minimum 2 years), and familiarity with basic accounting principles and financial systems. Effective communication under pressure and in a time-sensitive manner, strong attention to detail, and excellent organizational skills are essential. You should be able to handle multiple tasks and meet deadlines, and have excellent verbal and written communication skills to interact with clients, vendors, colleagues, and other stakeholders effectively. The ability to adapt to changing priorities and work effectively in a fast-paced environment, integrity, and analytical skills to identify and resolve discrepancies, reconcile accounts, and perform basic financial analysis are also important. Working knowledge of Soluno and proficiency in Microsoft 365 Suite and other word processing software would be an asset.
