Accounts Payable position for a well known construction company in Ottawa
Your new role
- Receive, review, and process vendor invoices, ensuring appropriate approvals and coding.
- Match purchase orders, contracts, and receiving documentation to invoices.
- Prepare and process payable batches including back charging, sorting and issuing cheques.
- Ensure online payment of bills is completed on time including utilities taxes, insurance premiums etc.
- Record receipts from debit machine
- Complete monthly vacancy reports
- Complete Monthly EFT reconciliation, update spreadsheets and create journal entries
- Prepare all necessary handyman invoices including updating spreadsheet, creating payables, issuing cheques, and recording deposits
- Monitor and track recurring expenses such as utilities, maintenance, and service agreements including obtaining invoices, issuing cheques and uploading to approval batch
- Assist Leasing administrator with utility account information and tenant charge issues
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Prepare and process check runs as needed
- Maintain accurate and organized records of all transactions.
- Communicate with vendors regarding billing issues and payment status.
- Assist with month-end closing by providing accounts payable reports and supporting documentation.
- Ensure all digital filing of payables is always up to date.
- Assist with preparation of audit documentation as needed.
- Assist the property management team as needed with all tenant account matters.
- Ensure compliance with company policies, accounting standards, and internal controls.
What you'll need to succeed
- High school diploma required; post-secondary education in accounting or finance is an asset.
- 1–3 years of accounts payable or related accounting experience.
- Experience in the property management or real estate industry is preferred.
- Strong understanding of basic accounting principles.
- Proficiency in accounting software and Microsoft Office, especially Excel.
- Excellent attention to detail, organizational, and time management skills.
- Strong communication and problem-solving abilities.
- Ability to manage multiple priorities and work in a fast-paced environment.
