Vice President of Operations

Job Summary
We are seeking an experienced and visionary Vice President of Operations to lead the operational strategy and performance of our property management division. This role oversees all aspects of day-to-day operations across our residential and/or commercial property portfolio, driving efficiency, profitability, and tenant satisfaction while ensuring regulatory compliance, optimal asset performance, and alignment with company goals. This high-impact leadership position requires operational excellence, strong financial acumen, and a deep understanding of the property management industry.

Key Responsibilities

Portfolio & Property Oversight
  • Direct operations across the property portfolio, including residential, commercial, or mixed-use assets.
  • Monitor property performance, occupancy levels, maintenance standards, and tenant satisfaction across all sites.
  • Partner with asset management, ownership groups, and stakeholders to align operational goals with asset strategies.
Maintenance & Facilities Management
  • Oversee maintenance operations, capital improvements, vendor performance, and preventative maintenance planning.
  • Implement systems to ensure timely resolution of service requests and compliance with quality standards.
  • Review and approve vendor contracts, RFPs, and cost-control measures across properties.
Strategic & Financial Leadership
  • Develop and execute strategic plans to scale operations, increase NOI, and reduce operating costs without sacrificing service quality.
  • Oversee operating budgets, forecasts, capital expenditures, and financial reporting across the portfolio.
  • Analyze operational KPIs including occupancy rates, rent collections, turnover timelines, and operating margins.
Team Leadership & Development
  • Build, lead, and mentor a high-performing operations team, including regional managers, property managers, and support staff.
  • Develop training programs and performance metrics to ensure operational excellence at all levels.
  • Champion a strong company culture and uphold professional standards across all team interactions.
Compliance & Risk Management
  • Ensure properties operate in full compliance with local, state, and federal laws, including fair housing, safety regulations, lease enforcement, and building codes.
  • Lead risk management initiatives including insurance coverage, legal compliance, and emergency preparedness plans.
Technology & Process Optimization
  • Implement and manage technology platforms (e.g., Yardi, AppFolio, Buildium) to streamline operations and enhance visibility across properties.
  • Identify and execute process improvements to increase efficiency, tenant engagement, and reporting accuracy.
Stakeholder & Client Relations
  • Serve as the primary operational liaison to owners, boards, investors, and strategic partners.
  • Communicate clearly and consistently on operational performance, challenges, and opportunities.
  • Participate in owner presentations, investor meetings, and due diligence processes for new acquisitions or expansions.
Required Qualifications
  • 10+ years of experience in property management operations, with at least 5 years in a senior leadership or executive role.
  • Proven ability to manage multi-site property portfolios and cross-functional teams.
  • Strong command of property management software (e.g., AppFolio, Yardi, MRI).
  • Deep understanding of landlord-tenant law, building operations, leasing practices, and budgeting.
Preferred Qualifications
  • Master’s degree (MBA or similar) or CPM designation (Certified Property Manager).
  • Bachelor’s degree in Business Administration, Real Estate, or related field.
  • Experience overseeing 1,000+ units or multiple asset classes.
  • Background in both owner-operated and third-party management models.
  • Experience working with REITs, institutional investors, or HOAs.
