We’re looking for a friendly, polished, and highly organized professional to be the welcoming face of our office. This role is ideal for someone who thrives in an autonomous environment, takes pride in creating a positive first impression, and handles sensitive information with discretion and professionalism.


Your new role

  • Serve as the first point of contact for internal and external guests at reception
  • Answer and direct calls on the main phone line and respond to general inquiries
  • Present a professional and welcoming image of the organization to all visitors and callers
  • Manage visitor sign‑ins and temporary building passes
  • Maintain the cleanliness, organization, and professional appearance of all common areas (reception, meeting rooms, lunchroom, kitchenettes, and supply areas)
  • Ensure office equipment is functioning properly and coordinate service as needed (coffee machines, photocopiers, check‑in systems, etc.)
  • Support meeting logistics, including scheduling, catering, room setup, registration, and clean‑up
  • Manage incoming and outgoing mail and packages
  • Liaise with building management and external service vendors
  • Provide backup administrative support to the admin team
  • Assist with scheduling appointments, booking meeting rooms, and general administrative tasks such as correspondence, photocopying, courier orders, and responding to inquiries
  • Take on additional office support duties as assigned


What you'll need to succeed

  • 1–2 years of related administrative or reception experience, with increasing responsibility
  • High school diploma; post‑secondary education in administration is an asset
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Strong professionalism with the ability to handle confidential information tactfully
