Position Overview
The Proposal Writer will manage the full life cycle of proposal and tender submissions, including reviewing bid documents, gathering information, writing, compiling, and submitting complete and compliant proposals. This role requires strong technical knowledge of construction processes, excellent writing skills, and experience with electronic procurement platforms. The ideal candidate has a background in general contracting, providing a solid understanding of project scopes, costing, and client requirements.
Key Responsibilities
- Review tender and RFP documentation to determine scope, submission requirements, and key deliverables.
- Prepare proposals from start to finish, including narratives, forms, pricing summaries, and supporting documentation.
- Use and manage electronic procurement platforms (e.g., Merx, Biddingo, Infrastructure Ontario) to download documents, track opportunities, and upload submissions.
- Gather and coordinate technical and project-specific content from internal teams (Project Managers, Estimators, Executives).
- Draft and edit proposal sections such as executive summaries, methodologies, company profiles, safety and quality statements, and relevant project experience.
- Ensure all submissions are compliant, complete, and professionally formatted according to client specifications and deadlines.
- Maintain and update a centralized proposal library, including corporate documents, resumes, project sheets, and reference materials.
- Track bid schedules and upcoming opportunities to ensure deadlines are met.
- Collaborate with business development and estimating teams to support pursuit strategies.
Working Conditions
- Office-based role at our head office, commutable from Toronto, Mississauga, and surrounding areas.
- Occasional visits to project sites or client meetings as required.
- Fast-paced environment with tight deadlines tied to tender and proposal submissions.
- Occasional extended hours during high-volume bidding periods.
- Frequent collaboration with multiple departments under time-sensitive conditions.
Qualifications & Skills
- Post-secondary education in Construction Management, Civil Engineering, Business, Marketing, or Communications.
- Minimum 5 years of experience in proposal writing, bid coordination, or project management within a general contracting environment.
- Strong understanding of construction tendering processes, drawings, and specifications.
- Experience preparing RFPs/RFQs from start to finish and working with electronic procurement platforms (Merx, Biddingo, Infrastructure Ontario).
- Excellent written, verbal, and interpersonal communication skills.
- Advanced proficiency in Microsoft Office Suite and Adobe Acrobat.
- Experience using Canva or InDesign for professional formatting and layout is an asset.
- Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
- Detail-oriented with a proactive and collaborative attitude.
Compensation & Benefits
- Salary range: $75,000 – $90,000.

Schedule
- Monday to Friday, in-office.
- Occasional site visits as required.
