Manager, Facilities Administration

About the Role-
  • Manages the Asset & Development Project Management Office. Engages consultants and service providers for major capital and operational projects across the association. Ensures contracts meet procurement and legal requirements.
  • Manages consultants, contractors, vendors, and internal/external stakeholders to ensure the successful delivery of the assigned projects.
  • Provides project management support for the development, design and construction of new Facility Projects in Coquitlam, Surrey and South Vancouver
  • Manages and coordinates consultant and contractor activities.
  • Ensures design and construction standards are followed
  • Maintains accurate project records and supports internal and external project audits.
  • Coordinates and orders new office furniture and works with a consultant on design.
  • Orders and coordinates all signage and installation.
  • Manages expenditures for consultants and contractors and processes payments in the organization's accounting system
  • Leads the administration of the capital projects, receiving consultant reports, working with consultants to follow up on outstanding actions, working with proposals, invoicing, untangling invoicing challenges.
  • Working with an internal finance team surrounding invoicing, and working with the construction team to look over completeness.


Accounting-
Accounting component to the role, specifically project accounting, understanding accounting principles, overseeing if the documents align with budgets, previous variables and agreements. Invoicing is 100–200 invoices a month, but quite complex – ideally someone has worked with CCdC contracts.


Ideal Candidate-


  • Minimum 10+ years’ of related experience
  • Project accounting background or Project coordination with budgetary requirements
  • Experience with large organizations and projects
  • Heavy administration throughout various stages of the project, including but not limited to creating and reviewing construction paperwork according to regional compliance, tracking and allocating budget (including cost saving), liaising with external consultants, vendors and contractors


This is an individual contributor role so suited to someone comfortable with a large scope and high-volume capital project experience.


Compensation- $50/hr-$55/hr
