Hays Specialist Recruitment has partnered with a real estate company located in Downtown Toronto, ON. We are looking to hire a Reception/ Administrative Assistant to join their team on a contract basis of 2 months, which has the possibility of extension. This candidate will be working from their St Clair Office on a full time basis.

Your new role

  • Provide general administrative support to the Corporate Operations team, including data entry and preparation of documents and presentations
  • Serve as the first point of contact for clients, guests, and employees, offering a warm and professional welcome
  • Maintain the kitchen area, including receiving grocery orders, setting up and tidying after lunches, and ensuring cleanliness throughout the day
  • Organize and maintain office areas such as meeting rooms, reception, storage closets, and the printer room; ensure meeting rooms are prepared for external guests
  • Manage incoming and outgoing mail, including Canada Post, couriers, monthly cheque mailings, and other ad hoc needs
  • Track and organize office inventory across kitchen, printer room, and storage areas
  • Place weekly office orders (e.g., Staples, groceries, birthday treats, event supplies)
  • Support office and culture events, including trainings, lunches, birthdays, and other team initiatives
  • Assist with scheduling and coordinating meetings as needed
  • Provide back-up support to Executive Assistants when required

What you'll need to succeed

  • High school diploma required; post-secondary education preferred
  • 1–2 years of experience in a reception or administrative role
  • Customer service experience considered an asset
  • Highly proactive, with strong initiative and attention to detail
  • Friendly, approachable demeanor and a natural desire to be helpful
  • Strong verbal and written communication skills
  • Flexible, adaptable, and willing to take on a variety of tasks to support smooth office operations
