Hays Specialist Recruitment is partnering with a leading energy infrastructure organization to hire an Information Management Administration Assistant for a full‑time, onsite contract based in Calgary. This role supports critical document management and information governance activities that enable safe, compliant, and efficient operations across the organization.

Key Responsibilities
  • Support the review and refresh of operational and controlled documents to ensure accuracy, compliance, and usability
  • Assist with standardizing document formats, templates, naming conventions, and metadata
  • Provide administrative support for the document management of change (DMOC) process
  • Support the Project Manager with status tracking and reporting on document refresh initiatives
  • Review document and data quality within internal systems and repositories
  • Identify gaps, duplicate records, or outdated content and assist with remediation efforts
  • Track, monitor, and report on document refresh progress and milestones
  • Maintain accurate, audit‑ready records with strong version control practices
  • Coordinate documentation across teams to support time‑sensitive deliverables
  • Uphold confidentiality and professionalism when handling sensitive operational information

What You Need to Succeed
  • Strong attention to detail with a commitment to high‑quality, accurate work
  • Proven ability to manage multiple priorities in a structured, deadline‑driven environment
  • Excellent organizational, analytical, and problem‑solving skills
  • Proficiency in Microsoft Office (Word, Excel, SharePoint) — Must Have
  • Strong written and verbal communication skills
  • Ability to work effectively with cross‑functional teams
  • Professional discretion when handling controlled documents and sensitive information
