We are currently hiring an Indigenous Initiatives Administrative Assistant to join their team for a 3 month contract. This candidate will be required to work full-time hours and start immediately. Your new role
- Provide administrative assistance in support of business initiatives, programs, processes and projects including managing calendars, setting up engagement appointments and coordinating meetings to ensuring appropriate information is provided ahead of time
- Provide administrative support to respective team(s); including preparation, review, processing and distribution of correspondence, meeting minutes, presentations and reports.
- Prepares and processes various documents/statistical summaries/reports requiring the assessment and analysis of data. Drafts correspondence, composes communications and routes or answers correspondence.
- Monitor and update data entry/database and web-based records to support time-sensitive reporting.
- Ensures that the tracking and following up of requests is maintained and deadlines are met.
- Proofread documents for accuracy and completeness
- Operates various office equipment and computers utilizing a variety of desktop applications and corporate systems. Prepares presentation material utilizing detailed layout and formatting
- Maintains continuous awareness of departmental matters, departmental administrative systems and procedures, organization structures in the division, and major activities in order to provide effective administrative assistance
- Assist in the development and implementation new tools and methods for the continual improvement and efficiency of practices and processes.
What you'll need to succeed
- 2+ years of experience as an administrative assistant or in a related role
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Candidates who self-identify as indigenous is an asset
- Excellent written and verbal communication skills
- Ability to maintain confidentiality and handle sensitive information with discretion
