Your new role

As a Senior ICI Project Coordinator, you will be a key support member of the project management team. You'll assist in the planning, documentation, and execution of construction projects, ensuring all administrative and coordination tasks are handled efficiently. This role is ideal for a highly organized and motivated individual who wants to develop their skills with the goal of becoming a future Project Manager. You will be responsible for maintaining project files, tracking important documents, and acting as a central point of contact for project stakeholders.

Key responsibilities include:
  • Documentation & Tracking: Set up and maintain organized digital files and logs for submittals, RFIs, change orders, and drawings. You will be responsible for drafting and issuing these documents, and following up on outstanding items.
  • Project Coordination: Assist in developing and distributing project schedules, coordinating key milestones, deliveries, inspections, and meetings. You'll also track material lead times to proactively identify and mitigate any potential risks.
  • Financial & Administrative Support: Help prepare and issue trade contracts and purchase orders. You'll also review trade payment applications and track changes to ensure they are documented and communicated to all relevant parties.
  • Communication & Collaboration: Act as a daily point of contact for trades, consultants, and internal teams. You will also help prepare for and participate in project meetings, taking and distributing minutes.
  • Project Closeout: Assist in gathering all necessary closeout documents, such as warranties and as-built drawings, to prepare the final project documentation for the client.

What you'll need to succeed

To be successful in this role, you should have three to five years of experience in a project coordination or construction administration position, along with a post-secondary education in Construction Management, Engineering, or a related field. You need a solid understanding of construction processes, project lifecycles, and industry terminology.

The ideal candidate will be a proactive, resourceful, and detail-oriented individual with strong organizational skills and the ability to manage multiple priorities under tight deadlines. You should be proficient with construction management platforms (e.g., Procore or similar) as well as Microsoft Word and Excel. Excellent written and verbal communication skills are a must. A valid driver’s license is required, as you may need to attend site meetings. Knowledge of building codes, construction drawings, and specifications is also essential.
