Hays Specialist Recruitment has partnered with a leading global insurer located in Toronto, ON. We are looking to hire a Facilities Coordinator to join their team on a contract basis of 6 months, which has the possibility of extension/ permanent. This candidate will be working from their Toronto Office on a full time basis.

Your new role


  • Office Supplies/Breakroom
  • Coordinates office supply ordering (which will also include coffee and snack orders for the breakroom)
  • Manage current supply inventory to anticipate future needs
  • Oversight of breakroom supplies and coffee machines
  • Closely coordinates with the Facility Manager to ensure maintenance and repairs are reported and resolved, vendors are managed, and service is consistent
  • Assists with the set-up and break down of the training and meeting rooms for office events
  • Inspects office common areas at the end of each day to ensure they are organized, neat and clean
  • Assists with the emergency evacuation efforts
  • Helps manage spaces for both full-time staff and visitors; cleans out spaces vacated and sets up for new hires
  • Reviews floor to identify items that are broken for either repair/replacement and/or disposal
  • Serves as a back-up for other team members when needed
  • Provides additional support for exec admins when needed
  • Assign/delete security access badges for Toronto as needed
  • Order business cards for Toronto employees per request

What you'll need to succeed

  • High School Graduate
  • (3 to 7) years’ experience in office administration preferred
  • Experience in vendor relationship preferred
  • Demonstrates analytical ability and good business judgement
  • Incumbent must be able to manage multiple priorities
  • Demonstrates a sense of urgency
  • Demonstrates ability to achieve goals through teamwork and collaboration
  • Experience using Windows and Microsoft Office programs
  • Ability to communicate effectively with co-workers and other business colleagues
  • Performs a variety of tasks
  • Must be able to lift up to (50) lbs.
