Hays Specialist Recruitment is partnering with a leading facilities management and project delivery organization to hire a Facilities Administrator for a 6‑month contract.
This organization operates nationally and internationally, delivering comprehensive facilities management, technical maintenance, energy, and lifecycle services across government, healthcare, commercial, and industrial environments.
Key Responsibilities
- Provide administrative support to the Facilities Management team, including drafting correspondence, reports, and maintaining organized filing systems
- Develop, update, and maintain manuals, operational plans, policies, and procedures
- Assist with the coordination and administration of subcontractors
- Coordinate, organize, and attend meetings; prepare and distribute meeting agendas and minutes
- Manage office supplies and inventory, distribute incoming mail and packages, and place orders as required
- Act as a primary point of contact for internal and external inquiries via phone and email
- Track estimates and documentation related to minor works and capital projects
- Support general office administration and ensure accurate, confidential handling of sensitive information
What You Need to Succeed
- 2–5 years of experience in a Facilities Administrator or similar administrative role
- Previous experience working with a facilities management organization (highly preferred)
- Strong proficiency in Microsoft Office (Word, Excel, SharePoint); MS Project is an asset
- Experience working with Dynamics 365 or similar systems (transitioning to CUPA for invoicing)
- Excellent customer service and interpersonal skills
- Proven ability to work as a self‑starter with minimal supervision
- Strong organizational skills and awareness of priorities in a rules‑based environment
- Comfortable handling confidential and sensitive information with professionalism
- MUST have resided in Canada for a minimum of 5 years
- Ability to obtain and maintain required security clearance
