Hays Specialist Recruitment is partnering with a leading organization in the natural resources sector to hire a Contract Administrator for a 6‑month contract. This role sits within a high-performing Supply Chain team and is ideal for someone who enjoys working with data, contracts, and cross-functional stakeholders in a structured, fast-paced environment. You will play a key role in supporting contract lifecycle activities while contributing to operational efficiency and compliance.


Key Responsibilities
  • Maintain and manage the central contract repository, including contracts, amendments, insurance certificates, and supporting documentation
  • Track key contract dates including expiry timelines, milestones, deliverables, and renewals; issue reminders and follow up as needed
  • Coordinate supplier communications related to documentation, contract records, and invoice inquiries
  • Support contract tracking and provide accurate spend and commitment data for forecasting and reporting purposes
  • Prepare and distribute recurring reports, dashboards, and data extracts related to contracts and spend
  • Assist with audits, ESG reporting, risk, and compliance data requests by ensuring timely and accurate information delivery
  • Support contractor renewals, including obtaining quotes, reviewing terms, and assisting with negotiations where needed
  • Ensure all contract-related activities adhere to internal policies, governance standards, and delegation of authority requirements
  • Escalate commercial, vendor performance, or delivery issues to the Contract Specialist when appropriate
  • Identify opportunities for process improvements to enhance data integrity, reporting accuracy, and overall administrative efficiency
  • Collaborate closely with Supply Chain, Finance, and site-based teams to support contract administration activities


What You Need to Succeed
  • Diploma or certificate in Business, Supply Chain, or a related discipline (Bachelor’s degree is an asset)
  • 1–3 years of experience in contract administration, procurement, or document control
  • Exposure to industries such as mining, energy, or heavy industry is considered an asset
  • Knowledge of contract types such as SaaS agreements, service level agreements (SLAs), statements of work (SOWs), or software licensing is an asset
  • Working knowledge of contract terminology, Incoterms, and basic commercial concepts
  • Proficiency with Microsoft Office (Excel, Word, Outlook); experience with ERP systems (SAP or similar) is preferred
  • Strong organizational skills with high attention to detail and the ability to manage multiple priorities
  • Valid Class 5 Driver’s License (or equivalent) may be required
  • Excellent written and verbal communication skills with a collaborative mindset
  • High level of professionalism, discretion, and commitment to confidentiality and data integrity
  • Proactive, adaptable, and solution-oriented with a continuous improvement mindset
