Hays Specialist Recruitment is partnering with a leading real estate and property management organization to hire a Construction Administrator for a 18 month contract. This position is ideal for someone who thrives in a fast‑paced, detail‑oriented environment and enjoys providing administrative, coordination, and financial support to project teams. You will play a key role in helping the Construction department stay organized, efficient, and audit‑ready.
Key Responsibilities
- Review all departmental invoices for accuracy; code and submit for approval
- Process operational, capital expenditure, and tenant improvement vouchers; enter into monthly cash flow reports
- Coordinate construction activities and support project execution in collaboration with Project Managers
- Draft contracts, purchase orders, and change orders for project needs
- Maintain project documentation including drawings, correspondence, meeting minutes, and close‑out packages
- Assist with monthly cash flow coordination and project reporting
- Support communication between internal teams, contractors, vendors, and external partners
- Prepare expense reports, draft routine correspondence, and support departmental documentation
- Manage calendars, schedule meetings, coordinate travel, and prepare agendas
- Arrange meeting logistics including room bookings and minute‑taking
- Maintain organized filing systems (digital and physical)
- Provide backup support to Property Management and Project Management staff as required
- Perform additional administrative tasks as needed to support ongoing operations
What You Need to Succeed
Must‑Have Qualifications
- 1–3 years of administrative or office support experience
- Strong Accounts Payable / Accounts Receivable skills
- Experience with purchase orders and change orders
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Strong written and verbal communication skills
- Excellent organizational abilities and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Comfortable working in a fast‑paced, changing environment
- Friendly, approachable, team‑oriented personality
- Strong follow‑through and reliability
Nice to Have
- Construction or project‑based industry experience
- Familiarity with software such as Nexus, Yardi, or similar accounting/project systems
