Hays is proud to partner once again with this established SMB, who is specialized in managing commercial properties. Together, we are seeking an experienced Commercial Property Administrator to join their tight-knit team.


Your new role

The primary role of the Property Administrator is to assist in the management of the Quebec real estate assets through close collaboration with the manager. This role requires astute attention to detail, time management and the ability to prioritize based on tenant and property demands.

The responsibilities below are guidelines only and serve as a fundamental framework of role expectations. However, do not necessarily reflect all tasks encountered in day-to-day operations.

Key Responsibilities:
  • Create, process and match purchaser orders with corresponding invoices for payment
  • Set up and track capital projects and associated payments
  • Coordinate and prepare reports as required (monthly/quarterly)
  • Assist with the preparation of the annual budget for assigned buildings within the portfolio
  • Monitor the collection of rental payments and undertake collection efforts, providing weekly reports on the status of accounts receivable.
  • Analyze G/L accounts for budget variances and report the same
  • Facilitate recovery billings for monthly tenant chargebacks
  • Draft Tenant correspondence
  • Respond to Tenants and Corporate Accounting staff regarding accounts receivables
  • Address tenant queries re: rental billing and statements
  • Input and abstract lease documents into the property management software system.
  • Respond to contractors' queries and correspondence about payments
  • Maintain an organized system of records, documents and reports
  • Track insurance for tenants and service providers, ensuring proper coverage and limits


What you'll need to succeed

  • 2–5 years commercial real estate experience in a similar role
  • Working within a computerized accounting package; preference given to MRI
  • Advanced Excel, Word and Outlook skills
  • Bilingual (oral and written) in French & English
  • Accounting background an asset
