Exciting Opportunity for an Admin Assistant to join a leading disaster and restoration organization

Your new company

Our client, a respected Disaster Restoration company located in Ottawa's west end, is seeking a dependable and driven Administrative Assistant. As a vital team member, you'll deliver crucial administrative support and contribute to the company's operational success.

Your new role

  • Provide administrative support and manage reception and front desk duties
  • Greet visitors, direct them appropriately, and notify company personnel of their arrival
  • Support the Disaster Restoration and Commercial Cleaning departments as needed
  • Respond to phone calls and emails, directing inquiries to relevant departments
  • Manage office and kitchen inventory
  • Prepare and dispatch mail and packages for courier collection
  • Perform clerical tasks (data entry, filing, record keeping, etc.)
  • Coordinate catering and suppliers for company events
  • Process credit card payments from clients

What you'll need to succeed

  • Bilingualism not required but considered an advantage (French & Spanish)
  • Insurance industry experience and 1–2 years of admin or customer service experience an asset
  • Excellent interpersonal and customer support skills with clear communication abilities
  • Strong organizational and multitasking abilities, effectively managing competing priorities
  • Proficient in data entry and file management with a focus on details
  • Comfortable working in a dynamic, fast-paced atmosphere
  • Reliable, composed, and empathetic with a strong sense of urgency.
  • Must have a reliable vehicle for transportation, as the location is not accessible by public transit
  • After completing training, you'll participate in an after-hours emergency call rotation with other team members, providing dispatching services as needed.
