A prestigious international firm with a long-standing reputation for excellence in legal services is seeking an Office Assistant to support its Toronto office. Known for handling high-profile litigation, corporate transactions, and regulatory matters, the firm serves a diverse clientele, including major corporations, financial institutions, and individuals.


Position Summary
Reporting to the Senior Office Manager, the Office Assistant will play a key role in ensuring smooth day-to-day operations and maintaining a professional and welcoming office environment.


Key Responsibilities
  • Provide front desk reception services: answer direct calls, greet guests, and manage mail and courier deliveries
  • Maintain cleanliness and organization in shared spaces, including copy rooms, conference rooms, kitchen, gym, and wellness room
  • Set up conference rooms for meetings, including catering and AV arrangements
  • Monitor and order office supplies
  • Assist in planning and executing office events
  • Provide basic IT support (e.g., replacing cables or equipment)
  • Enter invoices and expenses using Emburse Enterprise
  • Serve as a member of the fire warden team
  • Perform general administrative duties and support special projects as needed

Qualifications
  • Previous experience as a receptionist, administrative assistant, or in a similar role
  • Strong written and verbal communication skills with a professional demeanor
  • Proficiency in MS Office and Adobe Acrobat; ability to learn new tools quickly
  • Excellent organizational skills with the ability to multitask and prioritize effectively
  • Initiative and common sense in identifying and addressing office needs
  • A proactive attitude and willingness to take ownership of responsibilities
  • Flexibility with work hours as needed
