Administrative Assistant

Position: Administrative Assistant
Company: VIARail
Location: 3 Pl. Monseigneur Charbonneau Suite 500, Montréal, QC H3B 2C9
Rate: $25.00 per hour
Length of Contract: 12 month contract with potential extension
Hours: 9am – 5pm


Key Responsibilities:


  • Support day-to-day operations within the Real Estate Projects department.
  • Process purchase orders (POs) and invoices related to construction contracts.
  • Assist with data entry, validation, and error-checking in ERP systems (e.g., Oracle).
  • Analyze and export data using Excel for reporting and tracking purposes.
  • Provide excellent customer service to internal departments.
  • Collaborate with stakeholders to ensure smooth procurement and payment processes.


Required Skills & Qualifications:


  • 2–5 years of experience
    in administrative support, ideally within real estate or construction CAPEX projects.
  • Strong understanding of the
    procure-to-pay cycle
    and purchasing processes.
  • Experience with
    ERP systems
    (Oracle preferred).
  • Proficiency in
    Excel
    (data export, analysis, and reporting).
  • Exceptional attention to detail and analytical skills.
  • Ability to identify errors and inconsistencies in documentation and data.
  • Strong customer service orientation and communication skills.
  • Self-starter with logical thinking and problem-solving abilities.
  • Bilingual (French and English)
    is required.
